1. Who we are<\/h2>\n

The controller of your personal data is the company KENTRO EREVNAS PLIROFORISIS KAI EPIMORFOSIS THESSALIAS O.E.<\/strong> (trading name \u201cKEK KEPETH\u201d), a certified Lifelong Learning Centre (EOPPEP 12101240), with its registered office at 9 Vassani Street, 38333 Volos, Tax ID (AFM) 090071449, telephone 24210 30535, email info@kepeth.gr<\/a>.<\/p>\n

This Policy explains what data we collect through the kepeth.gr website, why, for how long, with whom we share it and what your rights are, in accordance with the General Data Protection Regulation (EU) 2016\/679 (GDPR) and Greek Law 4624\/2019.<\/p>\n

2. What data we collect and why<\/h2>\n

2.1 Interest and application forms<\/h3>\n

When you complete an interest, application or contact form, we collect the details you provide: first name, surname, email, telephone, status (e.g. unemployed\/employee\/business), the programme you are interested in and your message. We use them to respond to your request, to inform you about the programme or round you selected and to prepare your participation. Lawful basis: taking steps at your request prior to entering into a contract (Article 6(1)(b) GDPR) and your consent for updates (Article 6(1)(a)).<\/p>\n

When you submit an application or an expression of interest, we send you an automatic confirmation email. The data from these forms is transferred over an encrypted connection to our office\u2019s application management system and is deleted from the website 30 days after submission, provided it has been transferred.<\/p>\n

2.2 Updates on new programmes (newsletter)<\/h3>\n

If you choose to, we send you updates on new rounds of subsidised programmes, seminars and certifications. You can unsubscribe at any time using the link in every message or by emailing info@kepeth.gr. Lawful basis: your consent.<\/p>\n

2.3 Participation in training programmes<\/h3>\n

To deliver training programmes (subsidised or not), we collect the data required by the relevant call or contract (e.g. identity, education, employment and bank account details for payment of the allowance). Where required, we transfer this data to the bodies funding and managing each programme and to certification bodies. Lawful basis: performance of a contract and compliance with legal obligations (Article 6(1)(b) and (c) GDPR).<\/p>\n

2.4 Cookies and visitor statistics<\/h3>\n

The website uses strictly necessary cookies and, only with your consent, analytics cookies (Google Analytics) and marketing cookies (Meta Pixel). Full details are provided in our Cookies Policy<\/a>, where you can also change your preferences.<\/p>\n

The chat window stores a technically necessary identifier in your browser (cookie\/local storage) so that the same conversation continues if you refresh the page. It is not used for advertising or for tracking on other websites.<\/p>\n

2.5 Log files and security<\/h3>\n

To operate the website securely, technical data is logged (IP address, browser type, time of access) and a service protecting against automated submissions (Cloudflare Turnstile) is used. Lawful basis: our legitimate interest in the security of our systems (Article 6(1)(f) GDPR).<\/p>\n

2.6 \"Thetida\" digital assistant (chat on our website and on Messenger)<\/h3>\n

Our website and our Facebook Page (Messenger) feature \"Thetida\", an automated digital assistant. It answers questions about our programmes, seminars and how to take part, based on texts approved by KEK KEPETH. Thetida is not a human and states so at the start of every conversation. When your question is not covered, or you ask to speak with a person, a member of our staff continues the conversation.<\/p>\n

What data we process.<\/strong> The content of the conversation (your messages and the replies); in the website chat, technical connection data (IP address, device and browser type, the page from which the conversation started); on Messenger, your profile name and picture, as passed on to us by Meta; and, only if you ask us to call you and agree, your full name, a phone number or email and the subject you are interested in.<\/p>\n

Why.<\/strong> To inform you about our services and answer your questions (Article 6(1)(b) GDPR \u2014 steps prior to entering into a contract at your request) and, for the contact details you give us so that we can call you, on the basis of your consent (Article 6(1)(a) GDPR), which you may withdraw at any time.<\/p>\n

Where the processing takes place.<\/strong> The chat system (Chatwoot open-source software) and Thetida run on our own server, at a hosting provider within the European Union. To compose the digital assistant's replies we use an artificial-intelligence model service of Anthropic PBC (USA), through a programming interface (API), under Anthropic's commercial terms and a data processing agreement. Anthropic receives the text of the conversation solely to generate the particular reply; it does not use it to train models and retains it only for a limited period. Messages containing details such as a tax number (AFM) or social security number (AMKA) are not sent to this service. Otherwise, chat messages are not transferred to third parties.<\/p>\n

Messenger.<\/strong> If you write to us on Messenger, the messages are transmitted through the platform of Meta Platforms Ireland Ltd. Meta processes them as an independent controller, in accordance with its own privacy policy (facebook.com\/privacy\/policy). From Meta we receive only the messages of your conversation with our Page and the profile details mentioned above. We store them in the same chat system and do not use them for advertising.<\/p>\n

Sensitive details.<\/strong> Please do not mention in the conversation your tax number (AFM), social security number (AMKA), ID number, IBAN or passwords. If such details are detected, Thetida automatically deletes the message from our system and notifies a member of our staff to continue the conversation without them. On Messenger, the message remains in your own conversation until you delete it.<\/p>\n

Contact details.<\/strong> If you ask us to call you, the details you provide are transferred to our office's contact management system and are used in the same way as the details from the interest forms (see 2.1). They are deleted from the chat's waiting list within 7 days of their transfer.<\/p>\n

Deleting conversations.<\/strong> You can ask at any time for your conversations to be deleted, whether they took place in the website chat or on Messenger. Send your request through the \"Data Rights & DPO\" page or by email to info@kepeth.gr, stating the name you used and the date. We delete them from our system within one month and let you know.<\/p>\n

3. Who has access to your data<\/h2>\n

Only our authorised staff have access. We use processors who are contractually bound to protect the data: website hosting on servers within the EU, email delivery service (Brevo, EU), office email service (Microsoft 365), content delivery and security network (Cloudflare), analytics and advertising (Google, Meta \u2014 only with consent). Where data is transferred outside the EEA, the European Commission's standard contractual clauses or an adequacy decision apply. We do not sell or rent personal data.<\/p>\n

Conversations with the digital assistant are accessible only to our authorised staff who answer the chat. The chat software is hosted on our own server (within the EU) and is not provided by a third-party chat service provider. For conversations via Messenger and for the artificial-intelligence service used to compose the replies, see 2.6 (Meta, Anthropic).<\/p>\n
